Job Description

Vittoria Technology is seeking a highly motivated Grants and Project Manager to join our small, dynamic and growing team of impact focused changemakers. The position will report directly to the COO. S/he coordinates the team’s active grant projects (including multiple aspects of day to day operations), manages application processes for new grants, and contributes to our impact assessment work. Through attention to detail, excellent communication, and understanding of organizational priorities the incumbent will ensure staff are informed of their obligations, deadlines are met, reporting requirements are fulfilled and Vittoria Technology’s processes deliver efficiently.

This is a mid-level role with innovation and leadership responsibilities within a small staff structure engaging wide partner networks across the continent. As such, this job provides significant professional growth potential and opportunity to help shape our enterprising start-up journey. The majority of our team is based in Cape Town – working remotely most days, with 1 day in office every other week. The successful candidate must work independently and proactively to achieve performance goals and project objectives. Key Responsibilities

Grants Management

  • Monitor and document the grantmaking workflow processes, forms, templates, reports and data to ensure full compliance with internal controls and legal requirements.
  • Manage grant reporting process and submissions.
  • Ensure all staff are aware and knowledgeable of grants management processes.
  • Administer the current and future grantmaking database, including managing data hierarchy, data quality, and reporting.
  • Develop content and manage resources to deliver compelling communications for funders and grant applications that convey Vittoria Technology’s projects and impact on time and with excellence.
  • Develop and manage effective processes and tools to enhance Vittoria Technology’s grant effectiveness, including but not limited to:
        • Communicating and collaborating with key internal stakeholders
        • Managing inputs & deliverables from team members to ensure high quality materials are developed & deadlines are met
        • Ensuring effective and timely communication of project progress

Project Management

  • Coordinates people, partners and project activities to ensure strategic objectives are met across Vittoria Technology’s portfolio including:
      • Scheduling and running meetings and setting agendas
      • Distribution of appropriate materials
      • Keeping stakeholders aware of deliverables and deadlines
  • Achieves operational objectives by contributing information and recommendations to strategic plans, and reviewing/preparing action plans.
  • Enhances Vittoria Technology’s reputation by proactively disseminating project concepts and achievements,  and exploring opportunities to expand company services and products.
  • Monitor expenditure to ensure compliance with approved budgets and contracts.

Impact Assessment and Reporting

  • Assist in administering surveys to assess project impacts.
  • Work with the leadership team to ensure impact data effectively contributes to reporting, communication, and internal process improvements.

Required Qualifications

  • Authorized to work in South Africa. Must be based in the Cape Town metro area.
  • Bachelor’s degree in any field, so long as the candidate meets skills and organizational capabilities required below.
  • 5-7 years of professional, relevant work experience, with a track record in team management, administrative duties, task reporting, and coordinating successful grant or commercial projects.
  • Excellent computer skills, familiar with MS Suite particularly PPT and Excel (or G-Suite equivalent).
  • Ability to relate to other staff and foster teamwork.
  • Ability to organize multiple tasks and manage deadlines.
  • Fluency in English.
  • Strong interpersonal communication skills and demonstrated ability to write clearly and persuasively.
  • Ability to implement effective workflow processes and procedures.
  • Detail oriented and works with high levels of accuracy.
  • Ability to think critically, act decisively and synthesize program and operational issues.
  • Willingness to take initiative, high level of self-motivation and ease working independently or as part of a team.
  • Skilled in managing up and across and building resilient collegial relationships.
  • Personal qualities of integrity, honesty and discretion.

Bonus Points For

  • Experience in the energy access space and international sustainability initiatives.
  • Experience working with grantors and/or investors.
  • Familiarity with Asana or similar project management software.
  • Familiarity with Adobe Creative Suite or similar creative software.
  • Knowledge of other languages, preferably French and/or Portuguese, is desirable.

Compensation

Salary commensurate with experience, ranging ZAR 550,000 to 650,000 annual. Generous remote work allocation, with 1 day in office every other week.
